BEVERAGE SAMPLING

1. Purpose

To ensure beverage samples are safely, efficiently, and professionally sent to customers for evaluation, maintaining product integrity and traceability.


2. Pre-Dispatch Preparation

  • Sample Selection

    • Choose batches representative of intended quality

    • Ensure samples are within shelf life and meet QC standards

  • Documentation

    • Prepare product specification sheet (flavor, ingredients, pH, Brix, etc.)

    • Include storage instructions (ambient, chilled, frozen)

    • Add sample ID or batch code for traceability

  • Packaging

    • Use food-safe, leak-proof containers

    • For carbonated drinks – pressure-rated bottles or cans

    • For chilled/frozen items – insulated boxes with ice packs or dry ice

    • Add fragile/liquid handling labels


3. Courier & Shipping Requirements

  • Courier Selection

    • Choose courier experienced with food/beverage samples

    • Prefer trackable, time-definite delivery service

  • Customs (if international)

    • Include commercial invoice (mark as “samples – not for resale”)

    • Provide HS code and product description

    • Check destination country’s import rules for beverages

  • Temperature Control

    • Cold chain monitoring if required (temperature loggers)


4. Communication with Customer

  • Before Dispatch

    • Confirm delivery address and preferred delivery date/time

    • Inform customer of storage instructions upon arrival

  • Tracking

    • Share tracking number and estimated delivery date

  • Accompanying Documents

    • Tasting & feedback form

    • Contact details for technical or product questions


5. Post-Delivery Follow-Up

  • Confirm receipt of samples

  • Request feedback within agreed timeframe

  • Record customer comments and test results in CRM / product development file

  • Review feedback for formulation adjustments or approval


6. Records & Traceability

  • Maintain log of:

    • Sample ID / batch number

    • Quantity sent

    • Courier details & tracking number

    • Customer feedback reference
